## The mail a practice sends

Referrals and reports

Specialist reports, referral letters, discharge summaries.

A different document to each doctor, in one order.

Patient letters

Results letters, recall reminders, appointment letters.

Paste the list, each patient’s letter in its own envelope, one checkout.

Accounts

Patient statements and invoices, reminders.

PO number and cost centre on the order, statements for the practice.

Records requests

Copies of records sent at a patient’s request.

Tracking, and Registered Post with Signature when it has to be signed for.

## Private documents, shared printer

The report is written, signed off and ready. Then it goes to the printer by reception,
where it sits in the tray with three other patients’ letters until someone collects
them, folds them and remembers the stamps.

Every one of those steps is a place a private document can sit for longer than it
should.

**PostMyDoc Business takes the shared printer out of the picture.** The afternoon’s
reports go from your system into one encrypted order, each into its own envelope,
and are permanently deleted within 24 hours. You keep the certificates; we delete
the documents.

## One order for the whole afternoon’s letters

 * **A different report to every doctor.** Each report matched to its recipient,
   all in one order.
 * **Several documents in one envelope.** The report and the referral, together.
 * **The right service for each one.** Standard Post for routine letters, tracking
or a signature for the ones that need it, Express when it’s urgent.
 * **Black and white or colour.** Colour for the reports with images, black and
   white for the rest.

### Getting the list in

Paste recipients straight from a spreadsheet, pick them from the address book everyone
on your account shares, or add them one at a time with address autocomplete.

Every document is printed on quality A4 paper and goes in an envelope sized to it:
a DL for a few pages, a C5 for more, a C4 or B4 for thick packs.

Orders placed before 2pm AEST are dispatched same business day. Paying by BECS Direct
Debit? Your mail is posted once the debit settles, usually within a few business
days.

## Privacy you can show, not just promise

### Encrypted at rest, not just in transit

We encrypt business documents in transit and again before we store them on our servers,
and delete them within 24 hours. At-rest encryption is exclusive to PostMyDoc Business.

### Printed once, then deleted

Encrypted in transit and at rest, printed once, and permanently deleted within 24
hours. We keep no archive, and a copy caught in a routine server backup stays encrypted
and ages out within 30 days.

### A deletion record for every envelope

Each envelope’s certificate is a chain of custody: when its documents were received
and encrypted, when it was enveloped (where that is recorded), when it was lodged
with Australia Post, and when its documents were permanently deleted. Anyone you
share it with can check its ID and fingerprint against PostMyDoc’s records on the
public verify page.

### A data processing agreement

PostMyDoc Business has its own Terms, Privacy Policy and Data Processing Agreement,
written for organisations handling other people’s information.

## Questions we get asked

Who can see the documents we upload?

Your documents are encrypted in transit and at rest, printed once and permanently
deleted within 24 hours. We don’t share them or use them for anything beyond posting
them.

Does this make our practice compliant?

We can show you how documents are handled: the encryption, the deletion and the
certificate for each envelope, and our Business Data Processing Agreement sets out
what we do. Your obligations as a practice are yours to assess; we don’t give legal
advice.

Can different staff send from one account?

Yes. Everyone on the account has their own login. Your account admin is told about
every invite, can require approval for all of them, and sees every order and statement
across the account; everyone else sees their own.

What if a letter can’t be delivered?

You see it in your portal, marked unable to be delivered with the reason, so you
know which patient or practice to follow up.

Is PostMyDoc ISO 27001 certified?

No. Our hosting provider holds an ISO 27001 certification. PostMyDoc does not claim
one for itself.

Still have a question? Email [business@postmydoc.au](https://postmydoc.au/health-practice-mail/business@postmydoc.au)
