The mail a property business sends

Rent reviews and lease letters
Rent increase notices, lease renewals, end-of-lease letters.
A different letter to each tenant in one order.
Breach and formal notices
Breach notices, notices to remedy, notices to vacate.
Registered Post with Signature, and the lodgement date on the certificate.
Owner correspondence
Owner statements, end-of-year summaries, management agreements.
Several documents in one envelope, colour where it helps.
Strata and body corporate
AGM notices, levy notices, meeting minutes.
The same pack to every owner, in one order.

The rent roll, the printer and the deadline

Rent reviews go out on the same week every month. Someone prints twenty-odd letters, checks each one against the right address, stuffs envelopes at the end of the day and hopes the breach notice for 2/3 Rose Street went in the envelope with the signature label.

Then a tenant says it never arrived, and the only record is a memory of the post office queue.

PostMyDoc Business keeps every letter with its address. Paste the rent roll, match each letter to its tenant, and every envelope has a timeline in your portal and a certificate recording when it was lodged.

One order for the whole rent roll

  • A different letter to every tenant. Each tenant’s own review or notice, matched in the order builder.
  • The same pack to every owner. AGM notices and minutes, in one order.
  • Signature for the formal ones. Registered Post with Signature for breach notices, tracking for the rest, in the same order.
  • Up to 100 envelopes in one order. A whole portfolio’s mail-out, with one checkout.

When a tenant says it never arrived

Two records, kept apart: where the envelope went, and how its documents were handled.

Where each envelope is

Every envelope has its own timeline in your portal, with email notifications: lodged, and for tracked services in transit and delivered, with Australia Post’s tracking number.

Signature on the formal ones

Registered Post with Signature and Express Post with Signature are business-only services: Australia Post collects the recipient’s signature on delivery, as part of its service and its tracking.

When it was lodged

Each envelope’s certificate records the date it was lodged with Australia Post, and the time where one is recorded, and anyone you share it with can check its ID and fingerprint against PostMyDoc’s records. It is PostMyDoc’s record of custody, not an Australia Post receipt.

What couldn’t be delivered

If an envelope comes back as unable to be delivered, you see it in the portal with the reason.

Questions we get asked

Can we keep the property reference on the paperwork?

Yes. Use the PO number field for the property or ledger reference and the cost centre for the office or owner. Both land on the invoice and the monthly statement.

Does a certificate prove a notice was given?

It records when PostMyDoc lodged the envelope with Australia Post. It does not record delivery: you follow delivery on the envelope’s timeline in your portal, in the email notifications and on Australia Post tracking. What counts as giving notice under your tenancy laws is yours to check; we don’t give legal advice.

Can our whole office use one account?

Yes, with one shared address book. Everyone on the account has their own login. Your account admin is told about every invite, can require approval for all of them, and sees every order and statement across the account; everyone else sees their own.

Can we send owner statements in colour?

Yes. Set colour for the order or for any recipient.
