PostMyDoc Business

Document mailing for legal practices

Formal notices, letters of demand and court correspondence, built as one order however many parties it has: each party’s own documents, Registered Post or Express Post with Signature, the matter number on every invoice, and a signed certificate recording when each envelope was lodged with Australia Post.

Orders placed before 2pm AEST are dispatched same business day.

Registered Post with Signature is a business-only service: tracking, and the recipient’s signature collected by Australia Post on delivery. From $14.95.

The mail a practice sends

Most of it has a date attached, and some of it has to be shown to have gone.

Notices and demands
Notices to remedy, letters of demand, notices of termination.
Registered Post with Signature, and the lodgement date on the certificate.
Court and tribunal correspondence
Letters to the other side, copies to the client, enclosures.
Several documents in one envelope, the same pack to every party.
Client letters
Engagement letters, costs disclosures, advice, closing letters.
Different documents to each client in one order.
Estates and conveyancing
Letters to beneficiaries, institutions and agents.
Domestic and international recipients together.

The letter that has to go today

It’s 11:40 on the last day. The notice is signed, scanned and sitting in the matter folder. Someone now has to print it, find an envelope that fits the schedules, walk it to the post office and come back with a receipt that ends up in a drawer.

The work was done hours ago. The posting is what puts the date at risk, and the proof of it is a crumpled slip.

With PostMyDoc Business, the notice is the last thing you touch. Build the order with the notice and its schedules, choose Registered Post with Signature, and the certificate in your portal records when the envelope was lodged with Australia Post.

Built around the way a matter runs

One order can carry the whole send, however many parties it has.

  • The same pack to every party. Notice, schedules and covering letter together in each envelope.
  • A different letter to each recipient. Each party’s own letter, in the same order.
  • Signature where it counts. Registered Post with Signature for the other side, Standard Post + Tracking for the client copy.
  • Express when the date is close. Express Post with Signature: next business day to most Australian metro areas, 2-3 business days regional, 3-5 business days rural.
  • Overseas parties too. International Registered with Signature, in the same order as your domestic mail.

Proof that sits in the file

What the certificate records, and what it does not.

When it was lodged

Each envelope’s certificate records the date it was lodged with Australia Post, and the time where one is recorded, and anyone you share it with can check its ID and fingerprint against PostMyDoc’s records. It is PostMyDoc’s record of custody, not an Australia Post receipt.

What the certificate does not show

Delivery. The certificate covers custody from upload to deletion, and the lodgement. Delivery is not on the certificate. You follow delivery on the envelope’s timeline in your portal, in the email notifications and on Australia Post tracking. Registered Post with Signature and Express Post with Signature are business-only services: Australia Post collects the recipient’s signature on delivery, as part of its service and its tracking.

That the documents are gone

Encrypted in transit and at rest, printed once, and permanently deleted within 24 hours of dispatch. The certificate records the deletion too, which is the part a client asks about when the documents are privileged.

What happens to the record

The certificate stays private to your practice. Anyone you give it to, a client or the other side’s solicitor, can check its ID and fingerprint against PostMyDoc’s records on the public verify page, without an account.

Questions we get asked

Does the certificate prove service?

It records when PostMyDoc lodged the envelope with Australia Post. It does not record delivery: you follow delivery on the envelope’s timeline in your portal, in the email notifications and on Australia Post tracking. Whether a lodgement record is good service for a particular notice is a question for your practice and the rules that apply to it; we don’t give legal advice.

Can we send several documents in one envelope?

Yes. Add the notice, the schedules and the covering letter, and they go in the same envelope, in the order you add them.

Can we keep our matter number on the paperwork?

Yes. Use the PO number field for the matter and the cost centre for the fee earner or the practice group. Both appear on the invoice and the monthly statement.

Who on our team can send?

Everyone you add. Everyone on the account has their own login. Your account admin is told about every invite, can require approval for all of them, and sees every order and statement across the account; everyone else sees their own.
